ANNUAL GENERAL MEETING

 

 

When:      20th October 2008

Where:    South Newcastle Leagues Club

Time:       7.30pm

 

The outgoing committee would like to encourage and welcome all Hunter District Cycling Club members to attend and vote in the AGM for election of officers to fill the vacant positions outlined on the following pages.

 

This year has been a busy year with many successes and areas identified for growth in the future - none more exciting than the joint Closed Road circuit and the “Umbrella” cycling body being currently investigated.  

Please mark the details on your calendar and make the time to attend, it would be greatly appreciated by all.

 

So give some serious thought to assisting if at all possible and keep HDCC a strong progressive alternative.

 

 

AGM

There have been a number of current committee people that have served this club willingly and for a lengthy period of time.  They have unselfishly given much of their time to insure we all have been able to enjoy year round cycling racing. 

 

FOR THIS WE MUST THANK THEM – Do it at the AGM

 

New ideas were trialed  with mixed success, however still giving the opportunity to develop, junior(crit course) senior(BH, KI) and Team racing.

 

Whilst you may not have the time to take on a full position, give some thought to an assistant role as an option.

 

With family and work responsibilities an understanding is common that many are unable to contribute, even should they like to.  Time just does not allow it. Many of the outgoing committee are in this situation now.

 

Think about volunteering and giving a hand.  With careful planning, many of the small tasks can be done, freeing up the committee personnel to work at providing a smooth run and well-organised races.  In addition the new committee may then look at developing new ideas for more enjoyable, competitive racing, attracting sponsors and seeking new venues.

 

HDCC  Committee Role Descriptions

 

President:  Interact with the other cycling bodies, clubs current sponsors and potential sponsors. Chair Meetings on the 3rd Monday of each month at South Newcastle Leagues Club Merewether.  Attend to matters pertaining to all official club business.  Foster cohesion amongst club members, support ideas and present them at the monthly meetings.  Help to formulate club policy and deal with the general day-to-day issues as they arise.

 

Vice President:  Assist President as required, Chair meetings in his or her absence, be willing to undertake any other duties as required

 

Secretary:  Record minutes, handle club correspondence including obtaining race approvals (traffic management plans are submitted to NSW Police, Newcastle City Council, Regional Land Management Council and the RTA), booking services such as CREST and first aid.  Maintain club mailing list, raise issues on the club’s behalf and at the request of the president with Cycling NSW and Cycling Australia.

 

Assistant Secretary:  Take minutes in absence of Secretary, assist secretary as required

 

Treasurer:  Handle money for club & maintain the official club accounting records.  Deposit weekly race fees to club’s account on a regular basis and report the financial status of the club each month via the club meetings.  Issue payments, report to committee on current financial status, process memberships and send to CNSW.

 

Assistant Treasurer:  Acts as the Membership registrar maintains the membership database, updates same and forwards to President Treasurer & Secretary.  Assists treasurer as required.

 

Handicapper:  Maintains and updates the weekly grading sheets for both club members and guest riders.  Passes grading information to Cycling NSW and the Central Division handicapper.  Works with assistant handicapper, club coach and other officials to ensure that equity is paramount and that riders are promoted/demoted on merit.

 

Assistant Handicapper:  Assist handicapper as required.

 

HDCC  Committee Role Descriptions (cont.)

 

Club Coach:  Be will to assist and advise any club member upon request.  Identify new members and offer support encouragement and advice as required.  Identify junior riders and nurture their potential.  Maintain a close working relationship with the Hunter Academy of Sport.

 

Junior Development Officer:  Assist junior riders as required; maintain contact with NSW Cycling in regard to junior cycling

 

Club Captain:  Act as spokesperson for the riders, and act as the riders’ representative at committee level assist riders who wish to raise issues with any club event with the exception of disciplinary appeals

 

Publicity:  Publicise club events, involve local media, and produce brochures & flyers to raise the clubs profile.

 

Entries:  Accept entries on race day, prepare prize money as per the set format.

 

Uniforms:  Keep stock of uniforms, report to committee on uniform stocks, sell uniforms as required.

 

Equipment (Trailer):  Bring trailer to racing, register trailer.  Ensure that equipment is in good working order.  Maintain an inventory of equipment.  Check that signage & traffic cones have been set up in accordance with the TMP.

 

Website:  Maintain club website including notice of upcoming races.

 

Race Committee:  Organise race program for both Summer & Winter seasons and make decisions about how races will be run including routes and rules.

 

Volunteer Coordinator:  Ensure that adequate volunteers are available each week at club racing (follow cars etc..). Check that first aid, CREST & race entry persons are in attendance at each race meeting.
